Real receptions rarely use one table size everywhere: a head table of 10, a grandparents' table of 6, a run of standard 8-tops for everyone else. Set each table's size individually and the layout fills them in that shape, instead of forcing every table to match. Every seat is labeled by its table number throughout — the chart, the printed name cards, and the export all agree on which seat is where.
And you don't need the final headcount to start. Rough out the tables while RSVPs are still trickling in, add or remove guests as they come in, and the seating adjusts to fit — there's no reason planning has to wait for the list to be final.
